Your information

Privacy notice

We treat a conversation with the estate with care. This notice explains what happens to the information you share with us.

Updated 25 October 2026

Who is responsible

Rudby Hall Estate Limited is responsible for the personal information collected through this website. We are registered in England and Wales, company number 17436335, at Rudby Hall, Skutterskelfe, Yarm, England, TS15 0JN.

For privacy questions or requests, email info@rudbyhall.estate or write to our registered office.

Information you give us

When you make an enquiry, we collect your name, email address, selected area of interest, message and preferred way for us to reply. You can also provide your organisation. If you ask for a telephone reply, we also need your telephone number. Please only include information relevant to your enquiry and avoid sending sensitive personal information.

If you request launch updates, we collect your email address, the ventures you select and a record of your permission. This includes when and how you gave permission, so we can respect your choices. An update request remains pending until you confirm it using the confirmation email.

We also keep limited technical and security records to operate the website, prevent misuse and investigate delivery problems. Form abuse controls use short-lived, pseudonymous security keys derived from the request rather than storing a full IP address in the enquiry database.

Why we use it

  • To receive, manage and respond to your enquiry, including taking steps you request before a possible agreement.
  • To send confirmation messages and the launch updates you have chosen to receive.
  • To keep a record of your preferences, manage withdrawals and protect the website against misuse.

Where processing is needed for a contract with you, or steps you ask us to take before one, we rely on that basis. We rely on our legitimate interests in managing other business enquiries and operating a secure service where appropriate. We rely on your consent for the optional launch update emails. We may also retain information where needed to meet a legal obligation.

Making an enquiry does not sign you up for marketing. We do not sell your contact details or use your enquiry to build advertising profiles.

Where information is held

Website enquiries, contact records and subscription choices are stored in our server-side database provided through Cloudflare. We may use Google Workspace, including an Apps Script mail service, to handle enquiry correspondence and send service messages such as enquiry notifications and email confirmations. The website also supports Resend as an alternative email provider. Delivery through either service depends on its configuration.

When email delivery is enabled, the selected provider processes the information needed for that message. This can include enquiry contact details and message content, or your email address, selected update topics and confirmation links. These service messages do not add you to unrelated marketing lists.

Some service providers may process information outside the UK. Where a restricted international transfer applies, appropriate safeguards are required, such as an adequacy decision or approved contractual protections.

We do not store your enquiry or contact details in your browser's local storage, include them in public website addresses, or send them to advertising analytics.

How long we keep it

We keep information for as long as it is needed for the purpose for which it was collected. We review enquiry records and remove or anonymise information that is no longer needed, taking account of ongoing conversations, agreements and any legal record-keeping requirements.

You can withdraw from launch updates at any time. We may retain a limited record of a withdrawal so that we can respect it, rather than add you back to a mailing list.

Your choices and rights

Contact us to ask about access, correction, deletion, restriction or portability of your information, or to object to processing. These rights apply according to the circumstances and the lawful basis involved. We may need to check your identity before responding.

You can withdraw permission for launch updates using the unsubscribe link in an update email or by emailing us. Withdrawing consent does not affect processing that was lawful before withdrawal.

If you have a concern, we welcome the chance to address it. You can also complain to the Information Commissioner's Office, the UK data protection regulator.

Other websites and changes

External booking providers and other websites have their own privacy notices. This notice covers the Rudby Hall Estate website. We will update it when the way this website handles information changes.
